JOB DESCRIPTION 

Position Title: Clinic Transition Manager

Department:  Ray County Hospital and Healthcare 

Supervisor: Administration 

Directs all operations for the clinic(s) or medical group to ensure efficient operations and quality care. Oversee operations and personnel at clinic site(s).

Responsibilities: 

  1. Will be primarily responsible for managing the timeline and leading the acquisition of the rural health clinic located on the hospital campus.
  2. Will serve as a liaison between Ray County Hospital and Healthcare and Clinic staff, including physicians, throughout the transition. 
  3. Will serve as the liaison with OCHIN and Ray County.
  4. Will serve as the point person for the build and installation of Epic in the Rural Health Clinic.

Future responsibilities may include:

  1. Hire and train office personnel of the clinic; monitor and evaluate clinic staff performance. 
  2. Establish office policies and procedures to insure that all are properly implemented and discharged; revise as necessary. 
  3. Monitor deposits and monthly reconciliation of the clinic financials. 
  4. Supervise the receipt of vendor invoices, invoice verification and payment approval. 
  5. Supervise the storing of accounting records so they may be easily retrieved for future audit and review. 
  6. Initiate inventory procedures at year end and supervise the inventory process. 
  7. Assist in preparing the annual budget for the clinic and operate department within established budgetary guidelines. 
  8. Ensure compliance with current healthcare regulations, Rural Health Clinic regulations, medical laws and ethics. 
  9. Ensure patient records are current and accurate, supervise patient scheduling and oversee patient registration. 
  10. Provide education materials to patients. 
  11. Communicate with patients regarding inquiries and complaints. 
  12. Maintain and verify timesheets prior to payroll processing. 
  13. Ensure appropriate staff coverage, time correlation, leave requests and other staff related issues. 
  14. Learn all aspects of daily clinic operations and fill in as needed. 
  15. Maintain a professional public image and attitude toward patients, visitors, and staff at all times. 
  16. Maintain patient confidentiality. 
  17. Participate in continuing education programs as appropriate and available. 

Qualifications and Experience: 

Education Preferred minimum level of education: College Degree (Will consider High school diploma with appropriate experience). Rural Health Clinic management experience preferred.

Work Environment: The noise level in the work environment is normally moderate. 

Equipment Used: General office and medical equipment including, but not limited to computer, copier, typewriter, fax machine, telephone, blood pressure machine, scales, etc. 

Physical Demands: The following are representative of those demands which must be met by an employee to successfully perform the essential functions of this job. The employee is regularly required to sit; reach with arms and hands; speak and hear. The employee is frequently required to stand and walk. The employee is occasionally required to climb or balance, stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 30 pounds. Vision specific requirements include the ability to work on a computer for extended periods of time.
